When inviting visitors to the CQC, please bear the following points in mind:
- If your visitor needs accommodation, please liase with the secretaries well in advance.
- Please organise an access card from the secretaries in advance (remember that she may not be there when your guest arrives). Short-term visitors can get a guest card. Long term visitors should get their own card.
- If there are already several planned visitors at a time, please consider postponing the visit, as the visitors' office only has limited facilities.
- Please organise with your visitor when they are arriving. Please try to be present to greet them, or arrange for someone else to, unless you are quite sure that your guest will be able and happy to look after themselves until you arrive. (This is unlikely to be the case except perhaps for those who have frequently visited in the past and are familiar with the group and CMS). There is nothing more embarrassing than a visitor turning up at 9am, unable to access the buildings, with nobody expecting them.
- Make sure that your visitor is organised for lunch, especially if you are not going to be there.
- If you visitor is bringing a laptop, then they will need to configure
it to work with our systems:
- The CQC has a wireless network with password: **** (you need to be logged on)
- You then have to authenticate to access the rest of the network. Open a web-browser and surf for a page. You will be presented with a 'Welcome to the CMS Laptop Network' page. Choose to give a 'CMS Laptop Network username and password'. These are **** (you need to be logged on). Note that capitilization is important.
- If there is a slot in the seminar schedule, or sufficient interest to arrange an extra seminar, you might want to consider encouraging your guest to either give a talk or run an informal discussion session (early in their stay) so that the group meets them, and knows what their interests are.
- It is helpful if you add your visitor on the events list.
- If your visitor will be around for a significant length of time, they may wish to be added to the maths-qi mailing list. Please email Roger about this.
There are some other considerations for long-term visitors:
- The departmental administrators need to be informed as to the duration of their stay, and their office allocation. In addition, a work permit may be required (the law has recently changed to require these. An Academic visa may no longer be sufficient). The departmental administrators can also help to organise one of these. Please liase with Kaija well ahead of time to ensure this happens.
